Our Obligation to Guests

MEMBER HOSTING THE GUEST

1.  Direct the Guest to register visit at https://portlandbusinessnetwork.com or register the Guest yourself.


This will provide the Visitor Host with the Guest's contact and category information. Registering will also automatically send the Guest an informative confirmation email and reminder emails. 


2.  Follow up with your visitor the night before the meeting to let them know you are looking forward to introducing them to your group of trusted local professionals and verify that they are set to go with no questions unanswered.

VISITOR HOSTS

  

RULE OUT SEAT OVERLAP


If the guest's profession is a potential “seat overlap" discuss with the affected PBN member and the hosting member who invited the guest. If necessary, consult with the Membership Committee. If a conflict exists, the Visitors Host will communicate the conflict to the Inviting Member and discuss ways to mitigate the conflict.  


PRIOR TO THE MEETING


               1. Send out a welcome email containing:

                         Zoom log-in information

                         Guest’s Guide to Sales Manager's Minute 

                         Meeting Agenda  

                  * Highlight the new addition for visitors: In the I HAVE portion of the meeting pick one Member 

                   you want to schedule a 1 on 1 meeting with.


               2. Send a list of all visitors to the President. List contains the name of the guest, the guest's                    

                   profession, name of business, contact information and the member who invited the guest.


         NOTE: Task #1 will happen automatically if the Guest is registered electronically.


MORNING OF THE MEETING


  1. Greet the visitor the morning of the meeting. 
  2. Guide the visitor to the Chat Box in Zoom so they can “virtually” pass out their business card.
  3. Review: 60 seconds and "I-Have" portion of Agenda
  4. Explain to the guest that they should stay on the meeting with you for another 5 minutes after the meeting ends so you may answer their questions, facilitate a 1 to 1 with one of the members, and review the application process. Guests should be informed at this time that they may visit  two more times.


AFTER THE MEETING


  1. Follow up with the visitor and the member that they picked for a 1 on 1.
  2. Keep a list of all visitors and the member with whom they have scheduled a 1 to 1.
  3. Forward this list to the Growth Coordinator.

PRESIDENT

  

  1. During the open-marketing section of the meeting, verify the list of visitors and the member who invited them.
  2. Welcome all guests at the opening of the meeting and reinforce that they will have an opportunity to introduce themselves in the “60 Seconds” portion of the meeting.
  3. At the start of the 60 seconds portion of the meeting, reinforce that they will go after all members have gone, and remind all members that the President will pick the order in which guests speak in what order.
  4. Stop the 60 Seconds portion of the meeting after all members have gone to individually introduce each visitor.
  5. During the "I-Have" portion of the meeting, have the guest tell us who they would like to have a 1 on 1 meeting with to learn more about their business.
  6. Prior to the Inspirational Quote, stop the meeting and thank the visitors one more time for coming and invites them all to come back again the following week (subject to the 3 visit rule).
